Event Assistance

We’re so excited you’re going to be joining us for an upcoming event at UMBC at The Universities at Shady Grove! Please refer to the following information for frequently asked questions about attending in-person events, virtual events, or requesting accessibility and event accommodations.

In-Person Events

Getting to Campus and Parking

Upon arrival at The Universities at Shady Grove, please park in the Traville Gateway Garage (9638 Gudelsky Dr, Rockville, MD 20850). When entering the garage, proceed straight through the gated entrance and pull a ticket at the kiosk – do not turn left into Lot 4 or you will receive a parking citation. Parking is $3/hour, not to exceed $15/day. For certain events, we will provide you with a chaser ticket that will waive your parking fee.

Please plan to arrive at least 15 minutes prior to the start of the event to allow time for parking and check-in.

COVID-19 Health and Safety Policies

Please bring a KN95 mask with you as The Universities at Shady Grove requires masking in some campus spaces. We will provide you with a mask if you do not have one.

Virtual Events

At this time, all UMBC-Shady Grove virtual events are supported via the Webex platform.

Webex Assistance

Accessing Webex Meetings and Events via a Laptop or Desktop Computer

To ensure the best experience possible we recommend you download the Webex app on a laptop or desktop computer to access UMBC virtual events. If you plan on attending our virtual events using your mobile device, skip to the Mobile Access section below.

  1. Click on the event that you wish to join through your event confirmation email or the Event Webpage. Make sure your pop-up blocker is disabled.
  2. Enter your first name, last name, and email address that you used when registering.

Accessing Webex Events Via a Mobile Device

Download the Webex app to your mobile device to join the Webex session. If you already have the app you can select to use the app that is installed.

  1. Prior to the event, download the Webex Meetings app to your phone.
  2. On the day of the event, select the session you wish to attend through your event confirmation email or the event webpage.
  3. Fill out your information (first name, last name, and email address that you used to register for the event).
  4. Click the “Join Now” button and select that you would like to join using the app that is installed.
  5. Click “Start” and you will join the session.

Joining Breakout Rooms

During some of our virtual programs, you may be asked to join breakout rooms in Webex Meetings. For instructions on how to join a breakout space via a desktop or mobile device, please visit the WebEx Help Guide for full instructions.

Call-In Option

If you experience any issues joining WebEx using the link provided, for some events you may be able to call in for audio only by dialing: 1-202-860-2110. If this is an option for your event, a 10-digit meeting number will be provided on the event page or within your email confirmation.

Note: In order to fully participate in our event, we strongly encourage you to join from a computer or the free WebEx app. Participants who call in to the meeting will have limited functionality, including inability to join breakout rooms.

International Attendees

Time Zone Converter

All posted event times for UMBC-Shady Grove are in Eastern Time (E.T.). If you are attending a virtual event from outside the region, please use this time zone converter and update the date and time fields on the right-hand side (above Maryland) with the date and time of the posted event to determine the correct time based on your location.
